AEP Academic Integrity Policy

Plagiarism and other forms of academic dishonesty are not tolerated. The use of Artificial Intelligence (AI) for the development of knowledge and learning is encouraged at many stages of the learning process. While we value technology for educational purposes, we also value originality and the retainment of knowledge, and thus using AI for assignments and examinations, even if rephrased, is strictly prohibited and considered an academic integrity violation, unless the instructor explicitly allows for it in the context of evaluated work

AEP Non-Discrimination/Harassment Policy

The AEP program in Prague promotes a diverse learning environment where the dignity, worth, and differences of each individual are valued and respected. Discrimination and harassment, whether based on a person's race, gender, sexual orientation, color, religion, national origin, age, disability, or other legally protected characteristics, are repugnant and completely inconsistent with our objectives. Retaliation against individuals for raising good faith claims of harassment and/or discrimination is prohibited.

AEP Diversity Policy

AEP is committed to fostering an inclusive and welcoming community that values diversity in all its forms. We believe that one of the most meaningful lessons of studying abroad is learning to navigate and appreciate differences with curiosity and an open mind. While engaging across differences can sometimes be challenging or uncomfortable, these moments are essential for growth and learning. We recognize that every member of our community, even with the best intentions, may occasionally make missteps. Our commitment is to provide a supportive environment where respectful and honest dialogue helps us learn from these experiences, ensuring that every student has the opportunity to thrive and broaden their perspective.

American Disabilities Act (ADA) Compliance

As an American study abroad program in Prague, AEP recognizes and honors the American Disabilities Act (ADA) in the United States, and is fully compliant to the academic accommodations required by students covered by ADA.

Students requiring academic accommodation should inform the AEP Director prior to the beginning of classes so these accommodations can be arranged. The student's university should send official Academis Accommodation Requests to the AEP Director prior to the beginning of classes.

Rarely, there could be an accommodation that presents a challenge to arrange so students should always check ahead of time with the AEP Director. If there are any questions about ADA compliance, please contact the AEP Director.

Prevention of Sexual and Gender based Harassment

AEP promotes a diverse learning environment where the dignity, worth, and differences of each individual are valued and respected. We take all allegations of sexual misconduct involving members of the AEP community very seriously, in accordance with Charles University policy. Students, staff, and faculty are expected to uphold the highest standards of conduct.

Allegations of misconduct can be reported to any member of the AEP team at any time. Retaliation against individuals who raise good-faith claims of harassment or discrimination is strictly prohibited.

Purpose of personal data processing

Provision of educational services, assistance with fulfilling study and related requirements, and administrative and organizational support, including Charles University registration, documents relevant for visa application, and Czech Foreign Police registration, health insurance registration, confirmation of study, and confirmation of accommodation.

Personal data collected

We may collect name and surname, information about previous and current university/employer, e-mail contact, phone number, contact address, date of birth, citizenship, place of birth, photo, grades, passport number, passport expiration date, gender, emergency contact information (name and surname, relationship, contact e-mail, address, phone number).

Legal basis for personal data processing

Personal data administrator’s legitimate interest.

Data retention period

The collected personal data will be kept in the study system for the duration of the user’s study in the AEP  program. Certain data (name and surname, information about previous and current university/employer, e-mail contact, phone number, contact address, date of birth, citizenship, place of birth, photo, grades, gender, emergency contact information) may be held for 10 further years.

Statement of the personal data administrator

Your personal data will be administered by us for specific, explicit and legitimate purposes, and processed solely in accordance with those purposes. The data is processed in a manner that ensures appropriate security, including protection against unauthorized or unlawful processing and accidental loss, destruction or damage, using appropriate technical or organizational measures. Our employees or other persons (other data processors) processing the data based on a contract with us are obliged to ensure data privacy, even after ending their employment or other types of contracts with us.

We may have to share your personal data with law enforcement institutions based on specific legal regulations.

You have the right to request details concerning which personal data is processed, the deletion of your personal data under certain circumstances, the correction of your personal data if it is invalid or obsolete, the postponement of the data processing until any or all of your requests have been adequately addressed, the transfer of your personal data to a different administrator, or you can submit a complaint to the supervisory authority.
